FAQs
For Title, Escrow & Lending Partners
What is a notary signing agent?
A notary signing agent is a notary who has been specially trained to handle loan, real estate, and legal closing documents — not just general notarizations. At Sensible Signings, our signing agents work directly with title companies, escrow offices, lenders, financial services firms, and attorneys to make sure every signature, initial, and seal on a document package is completed correctly and on schedule.
What does Sensible Signings actually do?
We coordinate certified mobile and remote notary signing agents nationwide to facilitate mortgage and real estate closings on behalf of title and escrow companies. We also support financial services companies that need secure, compliant notary services to complete client signings, and we assist attorneys and law firms with the notarization of estate planning documents. We don’t provide general walk-in or personal-errand notary work — our focus is closing, lending, and legal documentation.
What areas do you cover?
We coordinate notary signing agents across all 50 states, so title and escrow partners can use a single point of contact for closings anywhere their borrowers are located, rather than sourcing a local notary market by market.
Are your notaries certified and insured?
Yes. Every notary signing agent in our network is certified and screened before they’re placed on a signing, and Sensible Signings carries errors and omissions (E&O) insurance, giving our title and lending partners an added layer of protection on every transaction.
Does Sensible Signings offer Remote Online Notarization (RON)?
Yes. For clients who need remote closings, we coordinate independently commissioned notaries who are set up to perform Remote Online Notarization through state-approved RON platforms. The notary verifies the signer’s identity, the signing takes place over a secure live video session, and the notary applies their electronic seal in accordance with that state’s RON requirements.
Is Remote Online Notarization legally valid?
RON is legal in most U.S. states, though the specific requirements — platform approval, ID verification standards, and recording acceptance — vary by state. When we coordinate a RON signing, we match your closing to a notary and platform that meet the requirements for the state where the notarization is taking place.
How does Sensible Signings work with title and escrow companies?
Title and escrow offices contact us with the closing details — date, location or RON requirement, and document package — and we assign and coordinate a qualified signing agent to complete it. We handle notary sourcing, scheduling, and confirmation nationwide, so your team isn’t managing individual notary relationships market by market.
Do you work with companies outside of real estate closings?
Yes. Beyond mortgage and real estate closings, we support financial services companies and attorneys that need secure, certified notary services to complete client signings.
What if a closing needs to happen quickly or outside normal business hours?
We coordinate signings on tight timelines, including after-hours and short-notice requests, depending on notary availability in the required location. Reach out with your timeline and we’ll let you know what’s achievable for your closing.
How do you prevent the errors that cause funding delays?
Signing errors — a missed initial, an incomplete notarial certificate, an incorrectly identified signer — are one of the most common reasons a closing package gets kicked back and funding is delayed. We only place experienced, certified signing agents on closings, and accuracy on the notarial certificate and document package is treated as non-negotiable.
What does it cost to work with Sensible Signings?
Pricing depends on the type of signing, location, and volume. Contact us for a quote — we provide transparent, upfront pricing so you know the full cost before a signing is confirmed.

For Attorneys & Law Firms
Does Sensible Signings work with attorneys and law firms?
Yes. In addition to real estate and lending closings, we coordinate notary signing agents to assist attorneys with the execution of estate planning documents, including wills, trusts, powers of attorney, and healthcare directives.
What is your role when assisting with estate documents — do you provide legal advice?
No. Our notaries handle the notarial act itself — verifying identity, witnessing signatures, and completing the notarial certificate. The attorney handling the matter is responsible for the legal content of the documents and for advising their client; we don’t draft, review, or advise on document content.
Can wills, trusts, and powers of attorney be notarized remotely (RON)?
It depends on the state and the specific document. Many states allow RON for powers of attorney and healthcare directives, but wills and certain other estate documents are excluded from RON in some states, or require additional safeguards (such as in-person witnesses alongside the notary). We coordinate with the attorney handling the matter to confirm which signing method — in-person, remote, or a hybrid — is required for that document in that state before scheduling.
Do your notaries have experience with estate planning documents?
Yes. We place experienced signing agents on estate document signings, and we work directly with the supervising attorney’s office to confirm document requirements, required witnesses, and any state-specific execution formalities before the appointment.
How do we schedule a notary for a client signing?
Contact us with the client’s location, the type of document, and your timeline, and we’ll coordinate a qualified notary signing agent — in person or via RON where appropriate — to complete the signing on your firm’s behalf.
For Notaries — Joining Our Network
How do I become part of the Sensible Signings notary network?
Fill out our notary application through the website or contact our team directly. We review your certification, experience with loan/closing documents, and insurance before adding you to our nationwide network.
What are the requirements to join the network?
We require current notary commission, experience with real estate or loan signings (or a willingness to be trained), and errors and omissions (E&O) insurance. Background screening is also part of our onboarding process. Experience with estate planning documents (wills, trusts, powers of attorney) is a plus, since we also place notaries on signings for attorneys and law firms.
Do I need to be RON-certified to join?
RON certification isn’t required to join, but it does qualify you for a broader range of assignments, since some of our clients specifically need remote online notarization coverage.
Can notary signing agents deduct notary-related expenses on their taxes?
Independent signing agents can generally deduct business-related expenses tied to their notary work, such as mileage, supplies, and E&O insurance premiums. Since tax treatment depends on your individual situation, we recommend confirming specifics with a tax professional
